This article will cover how to create an email schedule which will be sent to the guest to complete their online check in.
Step 1 - Content
1. Click Triggered Email/SMS and then click Schedules from the HOMhero sidebar
2. Click New Schedule
3. Enter the Name for the new schedule i.e. Guest Registration, 10 days prior
4. Ensure the Enable Email toggle is on or turn off if your schedule is to only send a SMS
5. Enter the Email Subject, this description will appear in the recipient's subject header of their emails i.e. Please complete Online Check in for your stay.
6. In the white text box enter the text of the email. For the Online Check In to work you need to add the guest check in link to your email, to do this click the Insert Merge Field icon and select the Check in URL which looks like this {{ checkin_url }}. You can create a hyperlink for this by writing your text i.e Online Check In >>, select your text, click the plus icon
click Link and enter the merge field here.
7. Enter a brief Description of the triggered correspondence, this just appears on your end and can help staff understand what the correspondence is for
8. Click the drop-down arrow if you would like to use a Predefined Template
9. Ensure Send to Guest toggle is on
10. Ensure Send to Owner toggle is off
11. Ensure Send to Cleaner toggle is off
12. Ensure Send to Admin toggle is off
13. The Enable SMS toggle will default to on, turn this off if your triggered correspondence is not to send a SMS
14. In the SMS Text to Send text box, enter the text of the SMS if you want this schedule to send as a SMS
Step 2 - Scheduled to Run
1. Click the drop-down arrow to select a Preset, these are some preloaded options on how frequently you would like the triggered correspondence to be run, or
2. Use the drop-down arrows next to Minute, Hour, Day, Month, Weekeday to create a custom scheduled run.
Step 3 - Filter Reservations
1. Click the Filter Reservation tab
2. The 1 Trigger Per Reservation check box will be ticked by default, untick the box if you want the triggered correspondence to be sent multiple times to the same reservation
3. Click the drop-down arrow and select the Contact Type as Guest
4. Click the drop-down arrow to select the Online Check in Status as Not Submitted
5. Click the drop-down to select the Reservation Status if required
6. Click the drop-down to select the Account Balance if you only want this to be sent to fully paid bookings you would select Equals 0
7. If you do not want the email correspondence to send to back to back booking click the toggle Exclude Back to Back
8. Use the two drop-downs to configure at what point the guest registration should send, your options are:

9. Enter the amount of Days that suits the above two steps
10. To set specific properties that the guest registration should send to click the Set button, select each area and then click the left arrow to move those properties into the selected field, click Set. This will always default to all properties.
11. To set specific booking sources that the guest registration should send to click the Set button, select each booking source and then click the left arrow to move those sources into the selected field, click Set. This will always default to all booking sources.
12. Click Save
