This article will cover how to create an email schedule which will be sent to the guest to complete their online check in.
General
- Select Correspondence > Schedules from the Homhero side menu.
- Click New Schedule.
- Enter the Name for the new schedule i.e. Guest Registration, 10 days prior.
- Enter a brief Description of the triggered correspondence. This appears on your end and can help staff understand what the correspondence is for.
- Click the drop-down arrow if you would like to use a Predefined Template.
- Click Allow Reset Schedule
- The Enable Email toggle will default to on, turn this off if your triggered correspondence does not include an email.
- The Enable SMS toggle will default to on, turn this off if your triggered correspondence does not include an SMS.
- The Enable OTA toggle will default to on, turn this off if your triggered correspondence does not include an OTA.
- Ensure Send to Guest toggle is ON.
- Ensure Send to Owner toggle is OFF.
- Ensure Send to Cleaner toggle is OFF.
- Ensure Send to Admin toggle is OFF.
Email Template
- Click the Email Template tab.
- Click the drop-down arrow if you would like to use an Email Theme.
- Enter the Email Subject - this description will appear in the recipient's subject header of their emails i.e. Please complete Online Check in for your stay.
- Click the toggle to Enable Gmail Support. This will add Gmail markup to your email if your email is whitelisted through Google. Contact support to get your company whitelisted with Google Reservations.
- In the white text box below, enter the text of your email. For the Online Check In to work you need to add the guest check in link to your email, to do this click the Insert Merge Field icon at the top left of the tools bar and select the Check in URL which looks like this {{ checkin_url }}. You can create a hyperlink for this by writing your text i.e Online Check In >>, select your text, click the plus icon click Link and enter the merge field here.
SMS Template
Click the SMS Template tab and in the text box, enter the text of the SMS if you want this schedule to send as an SMS.
Note: Check the Estimated SMS Cost and SMS Character total at the bottom of the page. One text message is a maximum of 160 characters.
OTA Template
Click the OTA Template tab and in the test box, enter the text of the OTA message if you want this schedule to send as an OTA message.
Schedule
- Click the Schedule tab.
- Click the drop-down arrow to select a Preset, these are some preloaded options on how frequently you would like the triggered correspondence to be run, or
- Use the drop-down arrows next to Minute, Hour, Day, Month, and Weekday to create a custom scheduled run.
Note: There will be a Summary at the top of the page explaining the frequency of your custom schedule.
Filters
- Click the Filters tab.
- The 1 Trigger Per Reservation check box will be ticked by default, untick the box if you want the triggered correspondence to be sent multiple times to the same reservation.
- Click the drop-down arrow and select the Contact Type as Guest.
- Click the drop-down arrow to select the Online Registration Status as Not Submitted.
- Click the drop-down to select the Reservation Status if required.
- Click the drop-down to select the Account Balance - if you only want this to be sent to fully paid bookings you would select Equals 0.
- Click the drop-down arrow and select an option for Back to Back bookings. If you do not want the email correspondence to send to back to back bookings, select No.
- Use the two drop-downs to configure at what point the guest registration should send, your options areas follows:
- Enter the amount of Days that suits the above two steps.
- Use the two drop-downs to select a range for Review Ratings.
- To filter properties based on Area, click 'SET' and select listings.
- To filter certain Booking Sources, click 'SET' and select source/s.
- To filter properties with certain Listing Categories, use the following two options as required. You may choose to filter properties with all selected categories or at least one of the selected categories. To select categories, click 'SET' and select from the list.
- Click the Exclude Imported toggle to filter out imported bookings from previous property management systems.
- Reservations Created - exclude reservations created before or after a chosen date. use the calendar to select dates.
- Reservations Modified - exclude reservations created before or after a chosen date.
- Reservations Arriving - exclude reservations arriving before or after a chosen date.
- Reservations Departing - exclude reservations departing before or after a chosen date.
- To view the editing history of your schedule, click Audit Logs. Edit history will appear with user name.
- Click Preview to show message previews for Email, SMS and OTA.
- Click Show Filter Results to preview the properties resulting from your applied filters.
- Click Save to save your new schedule.
